The Project Delivery Field Manual
138 copy-paste AI prompts for project managers — estimates with their assumptions attached, dependency and risk logs that get read, change control, escalation, and the status report that says what is actually happening.
Key Capabilities & Features:
- •The Project Primer: paste your methodology, team, timeline, budget and sponsor once — every prompt after it writes for your project
- •Estimates that carry their assumptions, so a re-estimate is a changed assumption rather than an admission you were wrong
- •Change requests written before the work starts, which is the only moment a change is chargeable rather than a negotiation
- •A status section built around delivering bad news early, because a slip disclosed at week four is a plan and the same slip at week eleven is a crisis
- •Methodology-agnostic — the Primer asks whether you run stages, sprints or neither, and nothing here depends on a particular framework
- •138 prompts across 8 sections — scope & definition of done, estimating, dependencies & critical path, risk & issue logs and more
- •Works with ChatGPT (GPT-5), Claude Opus 5 and Gemini 3.7 Flash — fill the bracket, paste, done
One-time payment • Lifetime access & future updates
What's Inside
8 modules138 promptsEvery module below is included in the single purchase.
- 1
Scope & Definition Of Done
20 promptsWhat is in, what is explicitly out, and acceptance criteria written so completion is a fact rather than an opinion. The exclusion list nobody writes until it is needed.
- 2
Estimating
20 promptsEstimates with their assumptions attached, ranges instead of single numbers, the estimate given under pressure, and re-estimating without it reading as failure.
- 3
Dependencies & Critical Path
18 promptsMapping what genuinely blocks what, the dependency owned by someone who does not know it, external dependencies you cannot schedule, and the slack that is not really slack.
- 4
Risk & Issue Logs
18 promptsRisks written so someone can act on them, separating a risk from a worry, mitigation with an owner and a date, and the log that has become a graveyard.
- 5
Change Control
20 promptsThe change request written before the work starts, impact stated in time and money rather than in effort, and the change that should simply be absorbed.
- 6
Stakeholders & Escalation
20 promptsMapping influence against interest honestly, the stakeholder who agrees in the room and objects afterwards, escalating without it reading as blame, and the sponsor who has disengaged.
- 7
Status & Bad News
14 promptsStatus reports that report status, the amber that has been amber for nine weeks, delivering a slip early, and the summary a sponsor reads in forty seconds.
- 8
Closing & Benefits
8 promptsClosing properly rather than trailing off, handover to whoever runs it now, checking whether the benefits case survived contact, and the lessons log someone will actually read.

Architecture & System Overview
Projects rarely fail at the end. They fail at week four, when an estimate is quietly known to be wrong and nobody has said so yet.
The Project Delivery Field Manual is a 138-prompt playbook covering scope and definition of done, estimating, dependencies and critical path, risk and issue logs, change control, stakeholders and escalation, status and bad news, and closing and benefits.
Start with the Project Primer — paste in your methodology, team, timeline, budget and who your sponsor is — and every prompt after it writes for your project rather than for a textbook one.
Estimates here always carry their assumptions. An estimate is a conditional statement — six weeks if the API is ready, if two people are available, if the content arrives — and stripping those conditions off is what turns a reasonable forecast into a promise you will be held to. It also makes re-estimating impossible without looking incompetent, when in fact the honest sentence is that an assumption changed.
Change control puts the paperwork before the work. A change assessed and priced before anyone starts is a decision the sponsor makes. The same change after delivery is a conversation about whether you should be paid for something already done, and that conversation has a predictable outcome.
And the status section is built around delivering bad news early. A three-week slip disclosed at week four is a plan; the identical slip at week eleven is a crisis and a credibility problem. The prompts make that easier by giving you the words, since the reason people delay is almost never that they have not noticed.
Scope note: meeting agendas, notes, RACI matrices, SOPs and retrospectives live in The Operations & Meetings Blueprint and are deliberately not duplicated here. This one is about delivery — estimating, dependencies, change and stakeholders.

Numbered assumptions changed my last three projects
Two slipped. Both times I could point at the specific condition that failed rather than defending my competence. My sponsor now asks which assumption changed, which is the right question.
It told me I was shading the number
I was. Under pressure from a stakeholder who wanted eight weeks. It gave me the sentence for holding twelve without sounding obstructive and we delivered in eleven.
The amber that had been amber for nine weeks
There is a prompt for exactly that and it is uncomfortable in the right way. Turns out amber was doing the work of hiding a red nobody wanted to declare.
No meeting or process material
It refuses to write agendas or SOPs and points you at the operations toolkit. Correct scoping and slightly annoying if you assumed one purchase would cover both.
Frequently Asked Questions
Which methodology is this for?
None in particular, and the Primer asks. Estimating, dependencies, change, stakeholders and bad news are the same problems whether you run stages, sprints or nothing formal. Where a mechanic differs — a change request in a gated project versus a re-prioritised backlog — the prompts name both.
Does it overlap the Operations & Meetings toolkit?
Deliberately not. Meeting agendas, notes, decision logs, RACI, SOPs, kickoff and retrospectives are all in that one and the prompts here are instructed not to produce them. This toolkit is the delivery discipline: estimating, dependencies, risk, change and stakeholders.
Is this exam preparation for a project management certification?
No. It contains no exam material and is not affiliated with any certifying body. It is about running projects, which is a different activity from passing a test about running projects — though the vocabulary will be familiar if you have studied one.
I run small projects, not programmes. Is this over-scaled?
The Primer asks your size and team. Small projects get most of the value from estimating, change control and bad news; the benefits realisation and formal closing material assumes a sponsor who will ask for it.
How is it delivered?
You receive a PDF with all 138 prompts organized into 8 sections, delivered within 24 hours of purchase. No app or account required — copy a prompt, fill in the bracketed variables, and paste it into ChatGPT, Claude, or Gemini.
Can I use this for client work?
Yes. Your purchase includes a single-user commercial and personal license, so you can use every prompt in your own business or for client deliverables without restriction.
