Architecture & System Overview
Operational problems are almost always documentation problems wearing a costume. The same decision made three times because nobody logged it, a process that only one person understands, a project date nobody believed but everyone agreed to.
The Operations & Meetings Blueprint is a 166-prompt playbook covering meeting agendas, notes and action items, board and formal meetings, decision logs and RACI, status updates, SOPs, process mapping, project kickoff, project planning, retrospectives, and incidents and safety.
Start with the Team Primer — paste in your team size, your cadence, your tools and where things currently break down — and every prompt after it works for your operation.
Agendas are built from decisions needed rather than topics to discuss, and the prompts will tell you when a meeting should have been a message. SOPs are written for someone who has never done the task, which surfaces the step experienced people skip so automatically they forget to document it. And the project planning prompts give an honest verdict on whether a date is achievable rather than compressing the plan until it appears to fit.

The SOP prompt found 14 assumed steps
Our senior ops person is leaving. Her description of a process looked complete; the prompt found fourteen places she had assumed knowledge, including two system accesses nobody else had. That handover would have been a disaster.
Killed three standing meetings
The is-this-a-meeting test said three of our weeklies were status broadcasts. Converted them to written updates and got about four hours a week back across the team.
Decision log ended the relitigating
Recording the reasoning and what would make us revisit a decision has stopped the same argument recurring monthly. Simple, and we were not doing it.
Manufacturing safety is light
The safety section is a small part of the incidents module. Fine for an office, not sufficient if you run a physical plant with real regulatory obligations.
Frequently Asked Questions
How is this different from the separate systems you used to sell?
It is all of them, in one purchase. Meeting Agenda & Note-Taking System, Meeting Transcript & Action Item System, Board Meeting Agenda & Minutes, Decision Log & RACI Matrix Builder, Weekly Operations Update Template, Operations SOP Builder for Small Teams, Process Mapping & Workflow Designer, Project Kickoff & Charter Builder, Project Plan & Timeline Builder, Project Retrospective & Lessons Learned, Incident Report & Root-Cause Analysis, Manufacturing SOP & Safety Plan are now sections inside this toolkit. Bought individually they came to $226.
Is this for a small team or a large organisation?
The Team Primer asks your size and adapts. Small teams will use agendas, SOPs, project planning and retros. Larger organisations get more from RACI, decision logs, board packs and formal incident reporting. Nothing assumes a PMO exists.
Does it integrate with our tools?
No. It produces documents, agendas, SOPs and plans you paste wherever you work — Notion, Confluence, Google Docs, a wiki. The Primer asks your tools only so terminology matches.
Will it just generate more process?
It is written against that. The agenda prompts include an is-this-really-a-meeting test, the RACI prompts warn when a matrix is performing clarity rather than creating it, and several prompts will tell you the right answer is fewer documents rather than better ones.
How is it delivered?
You receive a PDF with all 166 prompts organized into 11 sections, delivered within 24 hours of purchase. No app or account required — copy a prompt, fill in the bracketed variables, and paste it into ChatGPT, Claude, or Gemini.
Can I use this for client work?
Yes. Your purchase includes a single-user commercial and personal license, so you can use every prompt in your own business or for client deliverables without restriction.
