Architecture & System Overview
Event planning is two jobs. One is logistics, which is hard and learnable. The other is managing people at the most emotionally expensive moment of their year, and nobody trains you for that one.
The Event & Wedding Planning Handbook is a 138-prompt playbook covering enquiries and qualifying, proposals and packages, contracts and deposits, supplier coordination, run sheets and timings, difficult conversations, on the day, and after and referrals.
Start with the Event Primer — paste in your event types, average value, typical lead time and how you charge — and every prompt after it works for your business.
A fifth of the toolkit is difficult conversations, which is roughly the proportion of the job they occupy. The budget that will not stretch. The mother-in-law with strong views and no authority. The couple adding forty guests eleven days out. Each of those has a version that costs you money and a version that does not, and the difference is almost always in the first two sentences.
Run sheets get slack placed where it is needed rather than spread evenly. Delay does not distribute politely across a day — it lands in the transitions, and a schedule with ten minutes everywhere has no defence against a florist arriving forty minutes late.
And qualifying is treated as the core skill it is. You cannot ask a couple their budget and get an honest answer; you can ask the four questions that tell you anyway, before you spend six hours on a proposal for someone who was never going to book.
Note: contract terms, cancellation rights and deposit rules vary by country. The prompts explain what a clause is doing and flag what needs local checking — they do not give legal advice.

The four questions changed my proposal workload
I used to write full proposals for everyone. Now I send four planning questions and roughly a third of enquiries answer in a way that tells me not to bother. Same bookings, half the unpaid hours.
Slack in the transitions
Obvious once said. I had been spreading buffer evenly across the day. Putting it all at the changeovers meant a late florist cost us nothing for the first time in four years.
The family opinions script
A mother of the bride who was not paying and was making every decision harder. There is a script for exactly that. It kept the couple on side without anyone being embarrassed.
No actual contracts
It explains clauses and helps you draft plainly, then tells you to take it to a solicitor. Correct, and I still had to pay a solicitor. Worth knowing before you buy.
Frequently Asked Questions
Is this only for weddings?
Weddings are the largest case and get the most attention, but corporate events, parties and venue-side coordination use the same qualifying, proposal, supplier and run sheet material. The Primer asks which you do.
Does it give me contract templates?
It explains what deposit, cancellation, postponement and force majeure clauses are doing and helps you write plain-language versions to take to a solicitor. It does not give legal advice, and event contract rules vary too much by country for it to pretend otherwise.
I am a supplier, not a planner. Useful?
Qualifying, proposals, contracts, difficult conversations and on-the-day sections apply directly. Supplier coordination is written from the planner's side and will read as the other half of conversations you already have.
How is it delivered?
You receive a PDF with all 138 prompts organized into 8 sections, delivered within 24 hours of purchase. No app or account required — copy a prompt, fill in the bracketed variables, and paste it into ChatGPT, Claude, or Gemini.
Can I use this for client work?
Yes. Your purchase includes a single-user commercial and personal license, so you can use every prompt in your own business or for client deliverables without restriction.
