Architecture & System Overview
Bookkeeping fees are almost always set against the size of the client's business. The work is determined by the state of their records, and those two things have very little to do with each other.
The Bookkeeping Practice Field Manual is a 132-prompt playbook covering client onboarding, chasing records, queries and explanations, deadline season, pricing and scope, advisory conversations, difficult clients and practice growth.
Start with the Practice Primer — paste in your client count, software, fee model and deadline load — and every prompt after it writes for your practice.
The pricing section is the one that changes practices. A tidy business turning over two million takes less of your time than a chaotic one turning over two hundred thousand, and a fee scale built on turnover guarantees that your worst clients are your least profitable. The prompts build a mess-based pricing model and — harder — script the conversation that moves an existing client onto it.
Chasing records runs at four levels with the same honesty used elsewhere: it will tell you which consequence you are actually willing to enforce. A threat to disengage that you will not carry out costs you more than the missing paperwork.
The advisory section is careful about a real line. Explaining what a figure means is bookkeeping; advising on what someone should do about their tax position is regulated in most countries, and the prompts are instructed to flag when a question has crossed over rather than answering it.
Note: this is not tax, accounting or regulatory advice. Filing requirements, licensing and what constitutes regulated advice differ by country. Every prompt works from your own knowledge of your jurisdiction rather than asserting rules.

Mess, not turnover
My smallest client was my least profitable by a wide margin and I had never separated the causes. Changing how their records arrive recovered more than a price rise would have.
It stopped at the advice line
I asked a question about what a client should do with a vehicle purchase and it declined, said that was regulated advice in most jurisdictions and it would not guess at mine. Exactly right.
Do not apologise for the increase
One line and it changed the whole conversation. I had been opening with an apology and then negotiating against myself.
Refuses a lot of questions
The regulated-advice boundary is drawn tightly and it will not budge. That is correct and it does mean you are still on your own for anything technical.
Frequently Asked Questions
Is this tax or accounting advice?
No, explicitly. Filing requirements, licensing and what counts as regulated advice differ by country and change. The prompts are instructed to stop and flag when a question crosses from explaining a figure into advising on a tax position, rather than answering it.
Will it do the bookkeeping?
No. It handles the communication and commercial side — onboarding, chasing, queries, pricing, deadline management, difficult clients. The ledger work stays in your software and with you.
I am a sole practitioner. Is this scaled for a firm?
The Primer asks. Sole practitioners get the most from the pricing, chasing and deadline triage sections. The staff and capacity material assumes a team.
Does it work with my software?
It is software-agnostic. The Primer asks which you use so that references to receipt capture, bank feeds and client access make sense, but nothing depends on a particular product.
How is it delivered?
You receive a PDF with all 132 prompts organized into 8 sections, delivered within 24 hours of purchase. No app or account required — copy a prompt, fill in the bracketed variables, and paste it into ChatGPT, Claude, or Gemini.
Can I use this for client work?
Yes. Your purchase includes a single-user commercial and personal license, so you can use every prompt in your own business or for client deliverables without restriction.
