Architecture & System Overview
Most landlord problems are documentation problems wearing a people-problem costume. The dispute about the carpet is really about an inventory nobody completed properly eighteen months ago.
The Property Management Field Manual is a 134-prompt playbook covering listings and viewings, applications and screening, move-in and inventory, maintenance and repairs, rent and arrears, difficult situations, renewals and rent reviews, and move-out and deposits.
Start with the Portfolio Primer — paste in your properties, tenancy types, local market and how much you self-manage — and every prompt after it writes for your situation.
Screening is built around consistency. The same criteria, applied in the same order, to every applicant. This is both the fair way to do it and the only version you can defend if a decision is ever questioned — an inconsistent process is indefensible even when every individual decision was reasonable.
Maintenance triage sorts a report into urgent, routine, or tenant responsibility before anyone is dispatched. The cost of getting that wrong runs both ways: an emergency call-out for something routine, or a genuine urgent repair treated as a nuisance and becoming a much larger claim.
And deposit deductions are tested against fair wear and tear before you claim. Adjudicators are unimpressed by a claim that bundles a legitimate deduction with two speculative ones, and the weak items frequently take the strong one down with them.
Note: tenancy law, notice periods, deposit schemes and permitted fees vary sharply by country and often by region. Nothing here is legal advice, and every prompt is instructed to flag where a step needs checking against your local rules rather than asserting a procedure.

It told me to drop two of my three deductions
The carpet claim was betterment on a seven-year-old carpet and the cleaning claim had no move-in evidence. Claimed only the third, which was strong, and it was awarded in full without dispute.
Arrears at four levels
Having a written escalation instead of improvising each message has made these conversations far less stressful, and the payment plan wording has actually been honoured twice.
Will not tell you the law
It refuses to state notice periods and sends you to check locally every time. Right answer, mildly frustrating, and it means you still need to know your own jurisdiction.
Frequently Asked Questions
Is this legal advice?
No, explicitly not. Tenancy law, notice periods, deposit protection and permitted fees vary by country and region and change regularly. Every prompt is instructed to flag procedural steps as needing local verification rather than asserting them, because a wrongly served notice usually has to be restarted.
I have one rental property. Is this over-scaled?
The Primer asks. A single-property landlord gets most of the value from inventory, maintenance triage, arrears and deposits — which is where single properties go wrong. The portfolio and agent-coordination material will not apply.
Does it work for short-term lets?
Not really — that is a different business with different guest expectations and turnover economics. The Short-Term Rental Operator toolkit covers those.
How is it delivered?
You receive a PDF with all 134 prompts organized into 8 sections, delivered within 24 hours of purchase. No app or account required — copy a prompt, fill in the bracketed variables, and paste it into ChatGPT, Claude, or Gemini.
Can I use this for client work?
Yes. Your purchase includes a single-user commercial and personal license, so you can use every prompt in your own business or for client deliverables without restriction.
