Architecture & System Overview
A private practice is a profession wrapped in administration. Intake forms, consent, notes, reminders, cancellations, the fee conversation, and the client you should not have taken.
The Private Practice Protocol is a 126-prompt playbook covering client intake, therapeutic intake and boundaries, client education, documentation and notes, scheduling and cancellations, ethical promotion, and difficult situations.
Start with the Practice Primer — paste in your profession, your registration, your jurisdiction and the body whose rules you work under — and every prompt after it works inside those rules rather than generic ones.
The consent prompts put confidentiality and its limits in plain language. That is the part of intake most often glossed, and the part that matters most when something happens — a client who never understood the limits did not really consent to them. The documentation prompts separate observation from interpretation, since notes are read later by people who were not in the room and cannot tell which is which unless you marked it.
This gives no legal, medical or clinical advice. It is administration, communication and documentation support. Anything touching a diagnosis, a legal position, a clinical decision or a safeguarding concern is flagged for your professional judgement, your supervisor or your professional body — never answered.

The confidentiality section finally reads like English
Mine had been copied from a template and clients clearly never absorbed it. The comprehension-check questions at the end were the part I had not thought of — asking if they have questions always gets a no.
It would not write my confidentiality limits for me
It insisted I take them from my own professional code rather than generating a plausible list. Mildly annoying and completely correct — a made-up limit in an intake document would be serious.
Cancellation policy that is not hostile
I had been avoiding writing one because every example I found read like a parking fine. This gave me something enforceable that does not damage the relationship on the first late arrival.
Administration only, as promised
If you want help with actual case or clinical work this is not it and never pretends to be. As practice admin it has replaced a folder of half-finished templates.
Frequently Asked Questions
How is this different from the separate systems you used to sell?
It is all of them, in one purchase. Legal Intake & Client Communication, Legal Memo & Case Brief Builder, Therapy Practice Intake & Scripts, Medical Practice Patient Education, Wellness Studio Class & Promo Plan are now sections inside this toolkit, alongside 2 more that were never sold separately. Bought individually they came to $103.
Does it give legal or clinical advice?
No, and the Primer sets standing rules against it that hold for the whole session. It helps with intake forms, consent language, note structure, scheduling policies and difficult conversations. Anything touching a diagnosis, a legal position, clinical judgement or safeguarding is directed to your supervisor or professional body.
It covers legal, therapy, medical and wellness — are those not very different?
The professional judgement is completely different and this toolkit does not touch it. The administration is remarkably similar: intake, consent, documentation, scheduling, cancellations, fees, declining work. That shared layer is what this covers, and the Primer keeps the language correct for your profession.
Can I put client details into these prompts?
No. Do not put identifiable client information into any AI tool. The prompts are written to work from your process and your profession, not from a specific person's file, and they will ask you to anonymise if you start describing an individual.
How is it delivered?
You receive a PDF with all 126 prompts organized into 7 sections, delivered within 24 hours of purchase. No app or account required — copy a prompt, fill in the bracketed variables, and paste it into ChatGPT, Claude, or Gemini.
Can I use this for client work?
Yes. Your purchase includes a single-user commercial and personal license, so you can use every prompt in your own business or for client deliverables without restriction.
